Sample Pre-Shipment Inspection Report
01 · Inspection scope
Fictional product: unbranded desk organizer. Order quantity: 1,000 units. Demonstration sample: 80 units. This sample size is illustrative; it is not an AQL sampling plan. A real inspection plan must state the lot, sampling method, defect definitions, acceptance criteria, tests and limitations agreed with the buyer.
| Check | Illustrative finding | Next action |
|---|---|---|
| Quantity | Carton labels indicate 1,000 units; full unit count not performed | Reconcile packing list and agree quantity verification |
| Dimensions | Measured sampled units within fictional agreed tolerance | Attach measurements in real report |
| Workmanship | 3 of 80 sampled units show visible scratches | Review defect classification and acceptance criteria |
| Retail packaging | 2 of 80 sampled boxes have crushed corners | Repack affected goods and confirm correction |
| Labels | Buyer artwork approval not supplied | Obtain approved reference before label acceptance |
02 · Evidence record
A real report should contain dated inspection photographs, reference specifications, measurements, a defect log, site details and any restrictions on access or testing. No inspection photographs are presented here because no real inspection took place.
03 · Shipment recommendation
HOLD pending buyer review. Request the missing label approval and a corrective-action plan. Confirm any reinspection scope and cost before releasing the shipment recommendation. Physical release authority depends on the supplier agreement and buyer instructions.
04 · Limitations
Sampling cannot establish that every unit is defect-free. Visual inspection does not establish regulatory certification, material composition or long-term performance unless appropriate tests are separately agreed and performed.
